Property Management KPIs Every Agency Should Track

The Proptez Team · 21 July 2026 · 3 min read

Portfolio size is the number every agency knows off the top of their head. It's also one of the least useful for actually understanding how well the business is running. The KPIs below say far more about whether an agency is operating well — and whether problems are building up quietly before they become visible.

Rent collection rate

The percentage of rent actually collected against what was due, over a given period. A healthy portfolio sits close to 100%; a declining trend here — even a small one, tracked over months — is usually the earliest sign of a broader arrears problem building across the rent roll, well before individual cases become obvious one by one.

Arrears rate and average days in arrears

Beyond the collection rate, it's worth tracking how many tenancies are currently overdue, and for how long on average. A portfolio with a handful of tenancies chronically two or three days late is a very different (and much healthier) situation than the same number of overdue tenancies averaging three weeks late.

Average days to lease a vacancy

How long a property typically sits vacant between tenants. This directly costs owners money — a property earning nothing for an extra two weeks is a real, quantifiable loss — and it's a number owners increasingly ask about directly when comparing agencies.

Maintenance response and turnaround time

Two related but distinct numbers: how quickly a maintenance request gets an initial response, and how long it takes from being reported to actually being resolved. Both matter to tenant satisfaction and retention, and a consistently slow turnaround is one of the more common reasons a good tenant chooses not to renew.

Management agreement retention rate

The percentage of owners who renew their management agreement rather than moving to another agency (or self-managing) when it comes up for renewal. This is arguably the most important long-term number in the business — a rent roll with strong retention compounds in value; one with quiet, steady churn can look stable in headline size while actually losing ground.

Trust account reconciliation accuracy

Not a growth metric, but a critical operational one: how consistently the trust account reconciles cleanly each period, without discrepancies needing investigation. An agency that tracks this explicitly (rather than just assuming it's fine) catches small process problems before they compound into serious ones.

Average management fee and revenue per property

Useful for understanding the actual economics of the rent roll, not just its size — two agencies with the same number of managed properties can have very different revenue if their fee structures or property values differ meaningfully.

Why tracking these beats tracking portfolio size alone

Portfolio size answers "how big is the business." These numbers answer "how healthy is the business" — and the second question is the one that predicts whether the first number is about to grow, stay flat, or shrink. An agency that only watches its total property count finds out about a retention or arrears problem only once it's already shown up in that headline number — by which point it's a much bigger job to fix.
